Job Management Process

General Principles

Before handing over a job to a processor, ensure all required information from the client is provided. This eliminates unnecessary “pick up and put down” of jobs and allows processors to complete the job from start to finish efficiently.

Job Status updates are to be made in FYI

It is the responsibility of the Job Processor to follow up the reviewer or CRM on where job is up to or if information is outstanding.

When communicating on a job, regarding updating job state such as for review or reviews complete use the same email chain to ensure whole flow of conversation is captured in the one email chain

 

Step 1. Job Handover

  • In-person handover via a Teams meeting
  • When handing over job, specify:
    • Time allocation & Budget
    • Due date for when job should be returned for first review
    • Provide clear indication of key areas to focus on in the Job
    • Advise as to whether S95 journals are to be prepared and posted
  • Once handed over, the processor is responsible for updating the Job Status to “In Progress”

 

Step 2. Processor’s Initial Work

  • Complete the workpapers, reference the trial balance and prepare draft Financial Statements in Xero. Do not need to download draft Financial Statements.
  • Complete a self-review, ensuring all lead sheets are completed and resolve all internal queries.
  • If information is outstanding, before sending the job for review complete the following:
    • Prepare a draft email to the client listing out the missing information for the reviewer/CRM to send on.
    • Update the job status to “Client-Query”
    • Then book in calendar to follow up CRM/Reviewer in 2 days to see if information has been received, if no response after 2 days repeats this process.
    • Once information received from client update data file, workpapers and references as required.
  • Once the above has been completed:
    • Send an email to the reviewer with a link to the workpapers, email subject should be FY "Year Being Prepared" Income Tax Return Preparation - "Family Group Name" eg. 2025 Income Tax Return Preparation - Mark O'Brien Family Group
    • Update the Job Status to “For Review”.

 

Step 3. Reviewer’s First Review

  • Complete the first review of the workpapers and draft Financial Statements, this should aim to be done within 2 business days from when job is sent for review.
  • List review points in the Workpapers Review Tab.
  • Reply to the processors email informing them the job has been reviewed and to make the required changes as per the review points in the workpapers and prepare a final version of the Financial Statements, Tax Return & Tax Summary (if required).
  • Move the Job Status to “Post Review Changes”

 

Step 4. Processor’s Updates

  • Update the Workpapers and draft Financial Statements as per the review points listed in workpapers.
  • Complete a Final Version of the Financial Statements, Tax Return & Tax Summary (if required).
  • Draft a print request for the reviewer/CRM to send to support, as part of this draft invoice text in XPM.
  • Reply to the reviewer’s email with the draft print request and links to the Financial Statements, Tax Return and Tax Summary for a final review.
  • Update the Job Status to “Final Review”

 

Step 5. Final Review

5a. If changes are required:

  • Reviewer completes a final review of the Tax Return and Financial Statements.
  • List Review points in the workpapers and respond to the processors email noting further review points.
  • Update the Job Status to “Post Review Changes”
  • Repeat Step 6.

 

5b. If no changes are required:

  • Reviewer sends the print request to support, cc in processor so they know job has been completed.
  • Update Job Status to “Completed”
  • Provide key areas of learning to appropriate person for team member completing the job.
